Tips for Planning Tented Events
Plan A: Plan for the worst weather that you can imagine on the date that you have chosen. Be sure to have enough shelter, seating, heat, light, restroom facilities and insect control so all of your guests will be comfortable.

Have all underground utilities marked before the tent crew arrives. Call Miss Dig 1-800-482-7171 at least ten days before the event. It is a free service of the utility companies.
Have all underground sprinkler system lines marked. Check with your landscaper or irrigation company. Remember to turn the system off 12 hours before the tent crew arrives and keep it off until the tent is removed.
Check overhead in the area where the tent is to be erected for power lines and tree limbs. Tents have center poles that range from 16 to 25 feet high. Remove any dead or questionable limbs.
If you will be using electricity for your event ask your caterer, band and other vendors about their power requirements. Have your electrician verify that there is enough capacity available. If not consider a portable generator.
If the tent is going to be set up on grass, mow the area at least 4 days prior to the time of set up.
Clean up all pet litter the day before the tent crew arrives and keep pets out of the area until after the tent has been removed.
Call vendors a few days before the event to confirm the time of delivery and to make any last minute adjustments.
Use only cable ties (zip ties) or pipe cleaners to fasten decorations to the poles or ropes.
Please do not fasten anything to the tent fabric.
Keep all open fires at least 50 feet from the tent.
After the event please do not dump ice chests, drinks or food on the ground under the tent.
